Ultimate Technologies Group is a commercial B2B audio-visual solutions company headquartered in Indiana, USA. The company designs, engineers, and implements AV solutions for conference rooms, customer experience centers, and collaborative workspaces. UTG is also a certified Microsoft Solutions Partner specializing in Modern Work, making Microsoft Teams its hub for communication and collaboration.

UTG faced a challenge familiar to growing companies: Every critical HR process was manual and disconnected. Objectives set at the start of the year had to be manually copied into performance appraisals. Managers were spending excessive time on administrative work rather than coaching and developing people. Feedback, development plans, surveys, and talent reviews all lived in separate places with little connection between them, making it difficult to see a complete picture of an employee's performance and growth trajectory.

UTG estimated that without an integrated, automated system, it would need at least three additional HR people to manage all of it. What O’Brien describes as “one big process” starts with strategic planning and cascading objectives through the organization, flows through execution tracking, and culminates in performance assessment and compensation decisions. For example, goals set at the beginning of the year now automatically flow into performance appraisals, eliminating the copy-paste cycle and sending a clear signal to employees that what they commit to will be what they’re measured on.

The measurable impact on UTG has been substantial. With a 100 percent adoption rate, every employee actively uses Teamflect. O’Brien considers this the most critical result, pointing out that when software doesn’t have that level of adoption, a company ends up providing inconsistent leadership to employees.

By integrating all HR processes into Teams with automated reminders and workflows, UTG reduced time spent on manual processes by nearly 66 percent. O’Brien believes this efficiency is a key driver of the high adoption rate.

As O’Brien explained, any employee can see whether the CEO is on track, and the CEO can check on any team’s progress at any time. This visibility drives what he calls a culture of operational and executional excellence.
